Contractor management

Your contractors, properly organised

The trades you already trust, with their documents in date, their rates recorded and their work in one place. No new suppliers required, and nothing for them to install.

Getting started

Built so contractors actually use it

Your contractors get each job as a link on their phone. Nothing to install and nothing to remember, so the trades you rely on actually use it.

Bring the ones you have

Import your existing contractor records, or invite them by email, SMS or WhatsApp. You are not being asked to find new suppliers.

Working in minutes

A contractor's first job arrives as a link. They accept it on their phone without creating an account, and they are working within minutes.

Documents that stay current

Insurance, qualifications and accreditations held against each contractor, with warnings before they expire rather than after.

For the agency

Everything you keep on every contractor

  • Import existing contractor records
  • Invite contractors by email, SMS or WhatsApp
  • Categorise by trade and specialism
  • Define service and coverage areas
  • Set preferred, backup and emergency contractors
  • Store agreed rates and spending rules
  • Track insurance, certifications and accreditation
  • Receive document expiry warnings
  • Add internal notes and relationship history
  • Review verified job performance data
  • Mark a contractor private, preferred or network enabled

For the contractor

What your contractors do from the link

  • Open a work order without installing anything
  • Accept or decline, with a reason when they decline
  • See the issue, the property and the approved access details
  • Contact the tenant through controlled channels
  • Propose appointment times
  • Submit and revise quotes
  • Request approval for additional work found on site
  • Update job status as they go
  • Confirm attendance
  • Upload notes, photographs, invoices and certificates
  • Record parts used
  • Confirm completion and raise follow-on work
  • Report that they could not get in

The work order

Everything they need, nothing they don't

A contractor opening a job sees the problem, the address, how quickly they need to attend, what they are pre-approved to spend and how to get in. The tenant's phone number is not handed over; contact runs through a controlled channel so the conversation stays on the job record.

When they finish, the photographs, the invoice and any certificate go up from the same link. If something is missing, Agents HQ asks them for it rather than asking you to notice.

Permanent accounts

For the contractors who work with you every week

Regular contractors can move from link-by-link working to an account of their own. It is theirs rather than yours, which is the point: one login covering every agency they work with, instead of a separate system per client.

  • Manage jobs across every agency they work with
  • Set trades, service areas and availability
  • Configure out of hours cover
  • Keep qualifications and business documents current
  • Store company, tax and payment details
  • Review their own performance metrics
  • Control whether they take work from other agencies

Questions

Common questions

No, and that is deliberate. A contractor can receive, accept and complete their first job entirely through a secure mobile link sent by WhatsApp, SMS or email. A permanent account is offered afterwards, once the thing has proved useful to them, and even then it is a web account rather than an app.
